Get the results you desire from exhibiting in 2025:
Trade shows and exhibitions are goldmines for businesses, especially for SMEs looking to expand their reach, connect with clients and showcase their products or services. However, achieving success at an exhibition takes more than just showing up, it requires meticulous planning and execution. As experts in brand experience strategy, we’ve outlined a brief timeline with exhibiting tips to help you prepare like a pro, ensuring your business reaps maximum rewards.
12–18 Months Before the Show: Laying the Foundations
Exhibitions are competitive, and prime spots sell quickly, but you need to make sure you are doing it for the right reason. If your answers align with your goals, book your space early. A well-positioned stand can make the difference between blending into the background and being the star attraction.
- Why do you want to exhibit at this event?
- Does the event attract your target audience?
- Is there space available?
- Does the event fit within your budget?
At this time you also need to define what success at this event will look like for your business, set clear goals and a realistic budget factoring in over-looked costs like wi-fi and power supply. Ensure you read the fine print of any contracts – making note of any deadlines.

9–12 Months Before the Event: Designing Your Space
Your stand is the centrepiece of your exhibition presence. Explore your options with professional stand designers and builders to ensure your stand is eye-catching, functional and aligned with your brand. Engage multiple contractors to compare designs and prices, ensuring you find the best fit for your needs. Share your vision and objectives with your chosen exhibition stand designer. An experienced contractor will optimise your space and create a design that captures your audience’s attention.
6 Months Before the Show: Fine-Tuning Details
Start thinking about how to promote your participation. If you lack in-house marketing expertise, now’s the time to hire an external team like Squark Design. From email campaigns to social media teasers, ensure your messaging is consistent and captivating.
Focus on finishing touches such as lighting, furniture, and digital equipment that enhance your stand’s appeal. Also equip your team with branded clothing and stationery to reinforce your identity. Branded uniforms not only look professional but also make your staff easily identifiable on the busy exhibition floor.
If you haven’t done it already, book your travel and accommodation for the event. Avoid last-minute headaches by booking well in advance.
3 Months Before the Show: Execution Mode
By this stage, your exhibition stand designer should provide final proofs, including visuals. Review every detail, ensuring it meets your expectations and objectives. Once approved, production can begin.
Start preparing brochures, flyers and digital assets to complement your physical presence. Work with your internal creative team or external designers to ensure high-quality outputs.
Create buzz by announcing your participation on social media, email newsletters, and industry forums. Share your stand number and any special events or giveaways to attract visitors.
Double-check all bookings for flights, hotels, and transportation. Peace of mind about logistics allows you to focus on the final preparations.
